Privacy Policy
Last updated: [2026-10-26]
OVP CPA (“we,” “us,” or “our”) respects your privacy. This policy explains how we handle personal information collected through ovpcpa.ca and enquiries made through our website.
Information collected during an accounting or tax engagement is also subject to the terms of that engagement and applicable professional and legal obligations.
Information we collect
When you contact us through our website, we collect your name, email address and the information you include in your message.
Our website and service providers may also collect technical information, including your IP address, browser and device information, pages requested, submission date and time, and results from spam and security checks.
Please do not include Social Insurance Numbers, passwords, banking details or confidential tax documents in the contact form. Contact us first to arrange an appropriate way to provide sensitive information.
How we use your information
We use personal information to:
- Respond to enquiries and communicate with you.
- Understand your request and discuss relevant services.
- Operate, maintain and troubleshoot our website.
- Detect and prevent spam, fraud and misuse.
- Meet applicable legal and professional obligations.
Submitting an enquiry does not automatically establish a client relationship.
Contact forms and storage
Messages submitted through our contact form are sent to our business email address and stored in our website database to help prevent enquiries from being lost.
Website administrators may access stored submissions when maintaining the website or resolving technical issues. Access to business email and website records is limited to people authorized to handle them.
How long we keep information
Copies of contact-form submissions stored in our website database are scheduled for automatic deletion once they are more than 30 days old. Deletion takes place during routine cleanup, so it may occur shortly after that period.
This website retention period does not apply to copies received by email or information that becomes part of a client file. We retain those records for as long as reasonably necessary to respond to enquiries, provide services and meet applicable legal or professional requirements.
Copies may also remain in backups until those backups are replaced or deleted under the relevant backup retention arrangements.
Cookies and third-party services
Our website uses services that help display content and protect the site. These services may receive technical information when your browser connects to them.
Spam protection: We use Google reCAPTCHA to help distinguish legitimate enquiries from automated submissions. It processes technical and interaction information for security, fraud and abuse prevention and uses a cookie as part of that assessment.
Maps and fonts: Our website uses Google Maps and Google Fonts. Loading these features connects your browser to Google and may disclose information such as your IP address and browser details. Information about Google’s handling of data for these services is available in its Privacy Policy.
You can manage cookies through your browser settings. Blocking cookies or third-party services may affect website features, including the contact form. You can also contact us by telephone or email.
We use Google Search Console and Google Business Profile reports to understand how people find our website and business through Google.
Service providers and disclosure
We use service providers for website hosting, email, technical support and security. They may process personal information as needed to provide those services.
Some providers may process or store information outside Canada, where it may be subject to the laws of the country in which it is processed.
We may also disclose personal information with your consent or where permitted or required by applicable law.
Protecting your information
We use reasonable safeguards appropriate to the information we handle to help protect it against unauthorized access, use, disclosure or loss.
No website, email system or method of electronic storage can be guaranteed completely secure.
Your choices and privacy requests
You may contact us to request access to or correction of your personal information, ask about our privacy practices, or raise a concern.
Where we rely on your consent, you may withdraw that consent, subject to applicable legal or contractual restrictions and reasonable notice. We will explain any effect this may have on our ability to respond to you or provide services.
We may need to verify your identity before responding. Some information may need to be retained, or access may be limited, as permitted or required by law.
